Acorn uses AI Assistant to scale aftersales revenue and improve CRM accuracy

Acorn Motor Group needed a more scalable way to manage customer contact, follow-up activity and data quality. AI Assistant helped the group increase aftersales bookings, improve CRM accuracy and ease pressure on busy teams.

Growth is good for a dealer group - until the systems, processes and people behind the scenes start to feel the strain. That was the challenge facing Acorn Motor Group as its footprint expanded across more sites, more brands and more customers.

For Amanda Buckley, Group CRM Manager at Acorn, the issue has never been ambition. It’s scale. With a vast customer database and a team of just two, keeping communication timely, relevant and useful across the group was becoming harder to manage. Especially as each new site brings inherited records that need attention.

“We’ve grown and grown and grown. I now have over 156,000 customers in the database, so I needed help.”

Aftersales teams were feeling the strain too. Pre-calls and follow-ups were becoming harder to stay on top of - not through lack of intent but because daily workload was getting in the way.

For Amanda, that was about more than efficiency. There was a clear need for earlier, better customer engagement - both to support bookings and to identify potential issues before they turned into poor manufacturer survey outcomes.

“I need a point of interaction. If there’s a problem, or something hasn’t been done to the standard the customer expects, we need to step in before the manufacturer survey goes out and put it right.”

‍A practical fix for aftersales pressure

To address that, Acorn worked with their Keyloop Account Manager to introduce AI Assistant’s Cleanse solution alongside AI-powered email conversations.

The attraction was straightforward. Acorn needed a more scalable way to manage routine customer engagement around service and MOT activity, without placing more pressure on already stretched teams. AI Assistant provided a way to do that while also handling replies, questions and changes in customer intent more effectively than a traditional email campaign.

That distinction mattered. A standard outbound HTML campaign can prompt a response but can fall down once the customer replies with a question, a change of plan or a slightly different need. Acorn wanted a way to keep those exchanges moving productively rather than losing valuable opportunities.

At the same time, AI Assistant’s Cleanse solution helped improve data quality on an ongoing basis. Rather than relying on occasional clean-up exercises, Acorn was able to strengthen the quality of the records in its DMS through automated verification and everyday customer interaction.

“One of the biggest benefits of AI Assistant was that it could cleanse the data on an ongoing basis. As well as automatically verifying vehicle data against the latest DVLA/DVSA databases, customers might also get into a conversation with our AI Assistant and say, ‘I haven’t got this car anymore but I do still have this one,’ so the database is constantly being cleaned up in a variety of ways.”

That gave the group a practical advantage. Data quality is no longer a separate, periodic task. It improves continuously through normal communication - helping Acorn reduce wasted outreach and build a stronger base for future activity.

‍A live rollout, not a fixed setup

The rollout was handled in the same practical spirit. Rather than over-engineering the launch, Amanda and the AI Assistant team refined the setup through live use, adjusting it around how the business actually operated.

“We just went for it. It’s hard to truly understand the potential until you start using the product but once you see the AI Assistants in action, you can really build on the early wins. The AI Assistant team has been amazing to work with - they listen to ideas, highlight new approaches and help develop things in the direction you want to go.”

The most immediate impact at Acorn has come in aftersales.

“If we look at aftersales, the results have been significant. In the first quarter of 2026 alone, bookings reached 1,330 compared with 658 in the same period last year - an increase of 672. Year to date, Acorn is now 870 bookings ahead of 2025.”

‍Supporting teams, not replacing them

But for Acorn, the value was not simply about generating more volume. It was also about protecting team capacity. By taking more routine contact off the hands of busy staff, AI Assistant helped create more space for people to focus on the interactions where human judgement, experience and care matter most.

“I want AI to support our team, not take over from them. It’s there to supplement the people within the business. Using these solutions, we can make sure our people are properly trained and given the time to focus on what they do best. They’re the specialists, and I want them to be able to feel their skills are adding value every day.”

That has also helped shift opinion internally. Early concerns about AI replacing people have softened as teams have seen it used as a support tool rather than a substitute for expertise.

“It’s fair to say, there were some members of our team who were against using AI at first, but now they see it as an ally.”

For Amanda, though, the most telling outcome has been the way customers themselves have responded.

“For me, it all comes back to the customer experience. It’s amazing how naturally customers interact with our AI Assistants and how much they’re willing to share with them. They’re even leaving reviews about our virtual team members on Google and Trustpilot, which shows how real the experience feels to them.”

That matters because customer experience is central to how Acorn operates. 

“If customers are mentioning the AI Assistant in public reviews, it proves the technology is not just functioning in the background, but landing in a way that feels natural and genuinely helpful.”

‍What comes next

Aftersales has been the first major use case but the group is already looking further ahead. Acorn is now rolling AI Assistant into sales and taking early steps to support its fleet operation too.

“Working with the AI Assistant team has given me the confidence to start looking at using AI in other ways - we’re already pushing the button on sales conversations and refining a strategy that will enable our fleet teams to unlock similar benefits.”
